When you sell a item with a VIN-number, you might want to use the built-in function that allows you to send automatic SMS messages to the customer regarding a product's service reminder.
This can be, for example, a bike, a watch, or a lawn tractor — it's entirely up to you!
With our built-in service reminder function, you ensure that a reminder is automatically sent via SMS to the customer's mobile after a specific interval, which you set yourself.
You have the option to create a service reminder in two ways: The first way is in connection with the sale of a item with a VIN-number through tickets.
Before you proceed to payment, the service reminder SMS will automatically be selected for a valid product. Here you can choose how many reminders should be added in connection with the sale and on which dates they should be sent.
It is also possible to create service reminders after a sale if a item with a VIN-number has been sold to a customer. You can add and create this under the customer's profile in the Customer Bikes tab.
Through Settings -> SMS and Email, you have the option to change the default templates for service reminders. It is possible to change the content of the SMS, either overall or per reminder. Here you can set up:
Name of the reminder
Sending interval
Add or remove reminders (the default is 6)
Change the text that appears in the SMS (template)
Activate or deactivate one or more created reminders
You can fully decide what should be included in your service reminders. Additionally, you can use so-called info tags, which act as dynamic content and reflect the correct customer information.
For example, it can be used to automatically specify the customer's name, the customer's device, or the VIN-number of the notified device, making it easier for the customer to identify what is being called in for service.
If you need to have multiple types of service reminders with different templates, you can read more about it here.
Note: Please be aware that one SMS can contain a maximum of 160 characters, so if your reminder is too long, it may cost you extra. You can find more info on the content and prices of SMS sent from our system here.
Under the customer's profile, you have the option to check the status of a sent service reminder.
You can see the status by navigating to Customers -> Find or search for the customer -> Click on the customer's profile -> Choose the tab "Customer Bikes" and then press "Service Reminders" for the specific bicycle.
For each created service reminder, you can see the status of the sending.
This is defined as follows:
Not Sent: The service reminder has not been sent yet as the date has not been reached.
Received: The service reminder has been sent and confirmed received.
Sent: The service reminder has been sent to the recipient and is awaiting confirmation.
Not Delivered: The service reminder could not be received or was rejected by the recipient's operator/phone.
If the service reminder shows as Sent, it means our system could not confirm the receipt of the SMS. In most cases, this simply means the customer's phone or mobile operator has not confirmed receipt.
If the service reminder shows as Not Delivered, it means our system could not deliver the SMS to the recipient's phone. This is typically because the phone has been unavailable on the network or the recipient's operator has refused to deliver the SMS to the recipient's phone. If the customer has disabled service-based SMS from their operator, our provider will not be able to deliver it.
Note: Please be aware that the recorded sending time and the actual sending time of the SMS may differ by up to 24 hours due to queueing with our provider.
